Bee Inspired Eco Education CIC is a non-profit community interest company. We are also known as Bee Inspired Eco Education and BIEE. Our website address is https://biee.co.uk and our social media handle is @beeinspiredecoeducation. You can find us on Facebook, Instagram and Linked-in.

Types of personal information we collect

We currently collect and process the following information:

  • Personal identifiers, contacts, and characteristics (for example, name and contact details)
  • Medical information relating to bee sting and allergies if appropriate
  • First aid information relating to accidents and treatment given
  • Information relating to disabilities or additional needs
  • Information relating to ethnic group
  • Emergency contact details
  • Information about volunteers (experience/skills/references)
  • Photographs of people involved in our activities (with your permission, see photography and filming policy).
  • Information to fulfill orders made on our website
  • Answers to questionnaires asking customers about our products and services.

Why we collect personal information

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • To keep you safe from the risk of an allergic reaction to bee stings etc.
  • So medical professionals can give your child the appropriate medical care in your absence if required. We will also keep a record of accidents in case the information is needed later
  • To ensure we are providing our services to a diverse range of people
  • To continually improve the services we offer. This ensures we are making the best possible impact as a community interest company
  • To allow us to contact you with information or offers you may find interesting
  • In order to fulfill website purchases
  • In order to spread word of the work we do to reach a wider audience
  • To help us with recruiting the right volunteers and that they have been carefully checked
  • We won’t share this information with any other organisation without your specific permission.

Data that is given to us by you

BIEE will collect your data in a number of ways, for example:

  • when you contact us through the website, by telephone, email, or other means;
  • when you make payments to us, through this website or otherwise;
  • when you elect to receive marketing communications from us.

Data that is collected automatically

To the extent that you access the website, we will collect your data automatically, for example:

  • We automatically collect some information about your visit to the website. This information helps us to make improvements to the website content and navigation. For example, your IP address, date, times and frequency you access the website and the way you use and interact with its content.
  • We will collect your data automatically via cookies, in line with the cookie settings on your browser.

How we store your personal information

Workshop- and activity clients

One-off sessions

You will supply information by filling out a paper form or online via the website. Paper forms will be collected and stored securely with the lead beekeeper during your session. Online form data will be collected and stored on secure servers with a backup on an encrypted computer. We keep medical information for the duration of your session. When no longer required (generally after your one-off session) we will dispose/delete your medical information.

Repeated sessions

Information for clients attending multiple sessions will be kept on secure servers with a backup on a password protected desktop computer. Medical information is brought to the session and securely stored with the lead beekeeper in case of medical emergency.

We will keep records about first aid incidents for 3 years as per government guidelines.

Newsletter and volunteer Subscribers

We keep contact information on our Mailerlite database until you ask to be removed from our mailing list. We will then delete your information from the database and any back up we have.

Volunteers

Information from your application form will be stored securely with us for the duration of your volunteering. At the end of your time with us, at the debrief, you can ask for your data to be deleted. Alternatively, we can keep your information on file for 1 year if you think you may return. After 1 year the information will be deleted and you will need to reapply if you wish to return.

Buying from our online shop

If you purchase BIEE products through our online shop, an account will be created. You can delete your account at any time, or get in touch via info@biee.co.uk and we can do it for you.

How your personal data is used

We may use your information to:

  • Contact you regarding queries raised in a contact form
  • Progress an order you have submitted and send you information directly related to this
  • Carry out our obligations arising from any contracts entered into by you and us
  • Deal with entries into a competition
  • Seek your views or comments on the services we provide
  • Notify you of changes to our services
  • Send you communications which you have requested and that may be of interest to you
  • These may include information about campaigns, appeals, other fundraising activities, promotions of our goods and services
  • Process a grant or job application

Data retention

We store your personal data on secure servers for a period of:

  • 3 years from the date on which you cease to be a customer or supplier of ours
  • until you ask us to destroy it

In each case unless the law requires us to store the data for a longer period.

We review our retention periods for personal information on a regular basis. BIEE is legally required to hold some types of information to fulfill our statutory obligations. We will hold your personal information on our systems for as long as is necessary for the relevant activity, or as is set out in any relevant contract you hold with us.

Who has access to your information?

We will not sell or rent your information to third parties. We will not share your information with third parties for marketing purposes.

Third Party Service Providers working on our behalf

We may pass your information to our third-party service providers, agents subcontractors and other associated organisations for the purposes of completing tasks and providing services to you on our behalf (for example, to process orders and send you mailings).

However, when we use third-party service providers, we disclose only the personal information that is necessary to deliver that service. Please be reassured that we will not release your information to third-parties beyond the company for them to use for their own direct marketing purposes, unless you have requested us to do so, or we are required to do so by law. For example, by a court order or for the purposes of prevention of fraud or other crime.

When you are using our secure store pages, your payments are processed by a third-party payment processor, who specialises in the secure online capture and processing of credit/debit card transactions. If you have any questions regarding secure transactions then please contact us.

Use of cookies

Cookies are small data files that are stored on your computer (or other electronic device) when you use our website. When you first visit the website you can allow or disallow the use of cookies on your computer/device. You can set your browser not to accept cookies and you can delete cookies from your browser at any time. However, some of our website features may not function as a result.

Cookies are used to improve user experience. We can better understand how you are using the website by using cookies. For example, by monitoring how many times you visit the website, which pages you go to, traffic data, location data and the originating domain name of a user’s internet service provider. This information helps us to build a profile of our users. Some of this data will be aggregated or statistical, which means that we will not be able to identify you individually.

Under GDPR data protection law, individuals have rights, including:

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
